Position Overview

The Executive Assistant / Client Service Administrator is a key member of the team responsible for supporting advisors, coordinating client service activities, and helping deliver an exceptional client experience.

This role is ideal for a proactive, organized professional who enjoys taking ownership of their work, managing multiple priorities, and supporting both clients and advisors in a fast-paced environment. Key Responsibilities

  • Manage and maintain organized physical and electronic client files with accuracy and attention to detail
  • Prepare, review, and distribute client reports, performance documents, and other client-facing materials
  • Facilitate client communications to gather, update, and provide information in a professional and timely manner
  • Schedule and coordinate meetings, appointments, and calendars for advisors and clients
  • Serve as a primary point of contact for client service inquiries and help ensure timely resolution
  • Provide proactive administrative support to advisors and the broader team
  • Maintain accurate and up-to-date client records and account information
  • Track tasks, follow up on outstanding items, and ensure deadlines and priorities are met
  • Identify opportunities to improve administrative processes and operational efficiency
  • Stay current on relevant technology platforms and internal systems
  • Collaborate with fellow Client Service Administrators and CERTIFIED FINANCIAL PLANNER™ professionals to support client needs

Minimum Qualifications

  • Bachelor's degree required
  • 3+ years of experience as an Executive Assistant, Administrative Assistant, Client Service Administrator, or similar administrative support role within a professional services, financial services, or office-based business environment
  • Strong organizational, prioritization, and time management skills
  • Excellent verbal and written communication skills
  • High attention to detail and commitment to accuracy
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Ability to work independently, manage competing priorities, and follow through on tasks with minimal supervision
  • Demonstrated professionalism, sound judgment, and discretion when handling confidential and sensitive information
  • Ability to maintain strict confidentiality and safeguard sensitive client, financial, and personal information
  • Demonstrated ability to provide exceptional administrative support while delivering a high-quality client experience

Preferred Qualifications

  • Experience within a financial planning, wealth management, banking, accounting, legal, or other professional services environment
  • Experience supporting multiple professionals in a client-facing office
  • Familiarity with CRM systems and client management software
  • SIE, Series 7, or Series 66 licenses preferred but not required

Compensation & Benefits

  • Annual salary range: $55,000–$66,000
